Who is responsible for your data
Ebin Tech is the Data Fiduciary for personal data collected through this website and through enquiries, calls, WhatsApp and email. Our address is Plot No. 50, NCL North Avenue, Satyam Enclave, Kompally, Hyderabad, Telangana 500014. Email: info@ebintech.in. Phone: use the Call button on our Contact page.
When we build or run software for a client, the client decides why and how the personal data of its own customers or students is used. In that case the client is the Data Fiduciary and Ebin Tech acts as a Data Processor under a written agreement.
Personal data we collect
We do not ask for sensitive information such as passwords, card numbers, Aadhaar numbers or health records through this website.
- Enquiry details you give us: name, business name, phone number, email address, the service you need and your message
- Messages and calls: the content of WhatsApp, email and phone communication with us, and notes our team makes about them
- Client records: billing name and address, GSTIN, payment records and project files you share
- Website usage data: pages viewed, device and browser type, approximate location and referral source, collected through Google Analytics only if you accept analytics cookies
- Technical data: IP address and basic request logs created by our hosting provider when your browser loads the site
Why we use your data
We use your data only for the purpose you were told about when you gave it. We do not sell personal data.
- To call you, message you or email you about the enquiry you made
- To prepare a quotation, deliver the service and support you
- To send invoices, collect payments and keep accounting records
- To measure and improve the website, if you accept analytics cookies
- To meet legal, tax and regulatory obligations
- To handle complaints and requests you make about your data
Calling and record-keeping purpose
When you submit your name, phone number or other details to us, we will use this information to call you and record it for calling purpose only. We keep the details on record so our team can return your call, follow up on your enquiry and avoid asking you the same questions again.
We do not use these details for unrelated marketing, and we do not share them with other companies for their own marketing. If we record the call itself, we tell you at the start of the call. You can ask us to stop calling you or to remove your details at any time, using the contact details at the end of this policy.
Consent and other lawful grounds
We ask for your consent before we use your personal data, through a tick box you choose to tick and a notice that states the purpose in plain language. Our standalone Consent Notice lists exactly what we collect and why.
For some uses the DPDP Act allows processing without fresh consent, for example when you voluntarily give us your details for a stated purpose and have not objected, or when the law requires us to keep records. You can withdraw consent at any time. Withdrawal is as easy as giving consent and does not affect processing already done.
Who we share data with
We share personal data only with service providers that help us run the business, under suitable safeguards:
- WhatsApp (Meta), when you send us an enquiry or message on WhatsApp
- Google, for website analytics (only with your consent), maps, email and Firebase hosting of this website
- Accounting, payment and communication tools we use to invoice and contact you
- Professional advisers, courts and authorities where the law requires it
Transfers outside India
Some providers process data on servers outside India. The DPDP Act allows this unless the Central Government restricts transfer to a particular country. We choose providers that apply recognised security practices.
How long we keep data
When data is no longer needed, or when you withdraw consent, we erase it or make it anonymous, unless the law requires us to keep it.
- Enquiry details: up to 12 months after our last contact with you, unless you become a client
- Client records: for the period of the engagement and as long after as the law requires for tax and accounting records
- Analytics data: for the limited period set in our analytics settings
How we protect your data
We use reasonable security safeguards, including encrypted connections (HTTPS) on this website, access limited to team members who need the data, strong account credentials and regular review of the tools we use.
No system is completely secure. If a personal data breach affects you, we will inform you and the Data Protection Board of India as the law requires.
Children's data
This website is meant for business owners and adults. We do not knowingly collect personal data of anyone under 18 without the verifiable consent of a parent or lawful guardian, and we do not track or target children with advertising.
Where we build software for coaching centres, schools or similar clients, the software is designed so the client can capture and record parental consent. If you believe a child has given us data without consent, write to us and we will erase it.
Your rights
Under the DPDP Act you have the right to:
- Get a summary of the personal data we hold about you and how we use it
- Ask us to correct, complete or update your data
- Ask us to erase your data when it is no longer needed
- Withdraw your consent at any time
- Use our grievance process and, if unresolved, complain to the Data Protection Board of India
- Nominate another person to exercise your rights if you die or cannot act yourself
Cookies
We use cookies and similar technologies as explained in our Cookie Policy. Analytics cookies are set only after you accept them, and you can change your choice at any time.
Links to other websites
Our pages may link to websites we do not control, such as Google, WhatsApp and Behance. Their privacy practices are their own. Please read their policies before sharing data with them.
Changes to this policy
We update this policy when our practices or the law change. The date at the top shows the latest version. If a change affects how we use data you have already given, we will ask for your consent again where the law requires.
